Your new marketing campaign is ready and the only thing left is the Skype meeting with a potential investor who could provide the capital needed. But when the time comes, you realize that your colleagues at the video conference haven’t really discussed how to approach the client.
As you realize that, the investor answers your Skype call, followed by some awkward pauses on your part; that downplay the impact of the pitch. Video conferencing, just like conference calls, comes with a set of etiquette rules, so there’s always a possibility of making mistakes. Whether you are going to have a video conference in your home or at the workplace, here are 10 mistakes you should avoid.
- Dressing Poorly – In a workplace setting, this usually doesn’t mean a problem as formal to business casual wear can do the trick. However, videoconferences from home often mean a crumbled up shirt on top of your pajamas, which never leave a great impression.
- Texting &Typing – This is never professional when you’re in between a conference, regardless of the setting. Never answer any calls or respond to any texts during a videoconference. If you need to talk to your colleague, pass a note instead.
- Losing Eye Contact – At the key moments of the conference, this could send the wrong impression. Keeping eye contact improves communication and trust, which is one of the fundamentals that a videoconference must establish first.
- Eating – This is probably one of the worst things you can do in a videoconference. Drink water if you’re feeling hungry to suppress the appetite. Think about it: you won’t eat in the middle of a meeting, then why the negligence in a videoconference?
- Interruptions – Whether it’s your cat pouncing on the laptop or a colleague making extended apologies for background noise, while the conference is going on, interruptions are deal breakers. Leave a note outside the room to notify others that a high priority meeting is being held.
- Losing Interest – This is common in such settings. However, when you lose interest, you make it apparent with your body language. A good way to build interest is to repeat some of the points the other party mentioned when it’s your time to talk.
- The Background – It should always be professional, and it’s a necessity, not an option. If you’re in your room, make sure to have a neutral background. If you’re in the workplace, the background could be arranged so as to impress the other party.
- Volume Matters – We often forget about it until a few minutes into the conference. Make sure to raise the volume to a level where everyone in the room can properly hear what is being said, and the mic should be placed where everyone can be heard properly.
- Yawning – This should be banned for conferences! Whether you didn’t have enough sleep or because you’re just tired, you’re only losing your chance at impressing the client by showing you’re lazy and uninterested as you open your mouth wide.
- Wrapping Up – This is often difficult for many people because they don’t know how and when to conclude. Ideally, you should give the other party this leverage and have a nice little speech to call it a conference!
If you stay seated the whole time…. pants are completely discretionary. But if you ever have to get.. just know you made that choice.
